The successful candidate will serve as the first point of contact for visitors and callers, manage incoming and outgoing correspondence, maintain organized filing systems, and assist with basic accounting tasks. By handling these responsibilities efficiently, the administrative assistant enables engineers and project managers to focus on delivering high-quality infrastructure solutions that meet client expectations and regulatory standards.

Key Responsibilities

  • Manage daily office operations including answering phones, directing inquiries, keeping the reception area tidy and professional, and ensuring office supplies are adequately stocked.
  • Schedule and coordinate meetings, prepare agendas, take accurate minutes, distribute follow-up actions to relevant staff, and ensure meeting rooms are booked and prepared in advance.
  • Handle incoming and outgoing mail, emails, and courier services, logging correspondence promptly, ensuring timely delivery, and maintaining an organized tracking system for easy retrieval.
  • Maintain electronic and physical filing systems, update records, retrieve documents on request, ensure confidentiality of sensitive information, and assist staff with locating needed files.
  • Assist the finance team with basic accounting tasks such as processing invoices, tracking expenses, preparing financial reports, and supporting budget monitoring activities for management review.
  • Provide administrative support to engineers and project managers, including drafting correspondence, preparing presentations, organizing travel arrangements, and handling ad hoc tasks that arise during operations.

Qualifications & Experience

Horasi Uganda seeks candidates who combine a solid educational background with practical office competencies. The ideal applicant will demonstrate reliability, strong organizational abilities, and a willingness to learn new systems quickly. Essential

  • Hold a bachelor’s degree in any discipline, preferably in business administration, office management, or a related field that demonstrates foundational knowledge relevant to administrative duties.
  • Possess basic accounting operational knowledge, including familiarity with invoicing, expense tracking, and simple bookkeeping principles necessary for supporting the finance team.
  • Be diligent, organised, and detail-oriented with the ability to manage multiple tasks simultaneously while maintaining high accuracy standards and meeting deadlines consistently.
  • Demonstrate creativity, proactivity, and street-smart problem-solving skills, showing initiative to turn challenges into practical solutions quickly and effectively.

Desirable

  • Previous experience working in a construction, engineering, or consultancy environment, providing exposure to industry-specific terminology, processes, and standard operational procedures.
  • Proficiency with Microsoft Office Suite, especially Excel and Word, along with familiarity with email management tools and calendar scheduling software commonly used in offices.
  • Strong interpersonal and communication skills, enabling effective liaison with clients, contractors, and internal staff across different departments to ensure smooth project coordination.
