Job Overview

The Joint Clinical Research Centre (JCRC) invites applicants for several Data Clerk positions based in Gulu. Key Responsibilities

  • Liaise with unit in-charges at service delivery points to verify completeness of patient files and registers.
  • Collaborate with health unit departments to ensure timely, accurate, complete and valid data generation from registers for submission to MoH and PEPFAR systems.
  • Receive and process HIV/TB related data calls and requests, updating national EMR systems from paper-based patient records.
  • Manage and maintain electronic data systems including EMR, DHIS2, Prevention tracker, eCBSS, YAPs MIS, TBINFO, PIRS, CQI by ensuring timely updates with current data.
  • Maintain hardcopy and electronic data files and reports in compliance with program regulations, ensuring proper storage and easy retrieval.
  • Strengthen data utilization at facility level by applying audit tools to identify gaps, inform decision-making, and track progress on key performance indicators.
  • Conduct regular data quality checks using audit tools and report findings to the health unit in-charge for corrective action.
  • Assist in the preparation of monthly data reports and dashboards for presentation to program managers and stakeholders.

Qualifications & Experience

Applicants must meet the essential requirements listed below. Desirable qualifications are not mandatory but will strengthen an application and may be considered during selection.

Essential

  • Hold a Uganda Certificate of Education (UCE) or equivalent with passes in Mathematics and English.
  • Demonstrate basic computer literacy, including proficiency in Microsoft Office applications such as Word, Excel and Outlook.
  • Show strong attention to detail and ability to follow standard operating procedures for data entry and record keeping.
  • Possess good communication skills to liaise effectively with health unit staff and supervisors.
  • Ability to work flexible hours, including occasional weekends, to meet reporting deadlines during peak periods.
  • Basic understanding of confidentiality and data protection principles as outlined in Ugandan health regulations.

Candidates who satisfy all essential requirements will be shortlisted for further assessment, which may include a practical data entry test and an interview focused on attention to detail and organizational skills.

Desirable

  • Previous exposure to health management information systems such as DHIS2 or EMR platforms is advantageous.
  • Experience working in a clinical or public health setting, particularly with HIV/TB program activities.
  • Completion of a short course in data management, monitoring and evaluation, or health informatics.
  • Familiarity with statistical software such as Excel pivot tables or basic SPSS for data analysis tasks.
  • Experience in training or mentoring junior staff on data entry procedures and quality assurance practices.
  • Certificate in monitoring and evaluation or health information systems from a recognized institution.
