Key Responsibilities
- Welcome and greet visitors, clients, and guests with a professional and friendly demeanor upon arrival at the reception area.
- Answer incoming phone calls promptly, screen them appropriately, and direct them to the correct department or staff member.
- Receive, sort, and distribute mail, parcels, and packages to ensure timely delivery to the intended recipients within the organization.
- Maintain accurate visitor logs and records, issue access passes or badges, and coordinate with security personnel for entry control.
- Respond to general inquiries via phone, email, or in person, providing clear and helpful information to callers and visitors.
- Schedule appointments and meetings for senior staff and executives, managing calendars and confirming details with external parties.
- Ensure the reception area remains tidy, organized, and well-stocked with necessary supplies such as stationery and refreshments.
- Handle confidential information with discretion and uphold the highest standards of privacy and data protection at all times.
Qualifications & Experience
Essential
- Diploma or Certificate in Secretarial Studies, Business Administration, Office Administration, Public Relations, or a closely related field from a recognized institution.
- At least 1 to 2 years of hands-on experience in a front desk, reception, customer service, or administrative support role in a corporate or professional setting.
- Excellent communication skills, both verbal and written, with the ability to interact confidently with people at all levels of the organization and external stakeholders.
- Strong organizational abilities, including time management, multitasking, and the capacity to prioritize tasks effectively under pressure.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint, for daily administrative tasks and document handling.
- Fluency in English, both spoken and written, with clear articulation and professional tone suitable for business correspondence and customer interaction.
Desirable
- Additional certification in customer service excellence or office management from a reputable training provider in Uganda or internationally.
- Experience working in the mining, oil, gas, or investment sectors, or within a multinational corporate environment in Kampala or other Ugandan urban centers.
- Familiarity with visitor management systems, digital scheduling tools, or CRM software such as Salesforce or HubSpot would be a significant advantage.
- Knowledge of basic security protocols and emergency procedures, including fire evacuation plans and first aid awareness.
- Ability to speak an additional Ugandan language such as Luganda, Runyankole, or Ateso to assist local visitors and clients.
