Job Overview
SMARTEC ELECTRONICS LTD, a leading provider of consumer electronics and home appliances in Uganda, seeks an experienced Administration Supervisor to oversee office operations. This role ensures administrative functions run smoothly, supporting the company’s growth and service excellence.
The Administration Supervisor will lead a team of administrative staff, coordinate daily office activities, and manage facilities, procurement, and record-keeping systems. By maintaining efficient processes and effective communication, the supervisor helps the organization achieve its operational goals while upholding high standards of service and accountability.
The position reports to the management team and collaborates with departments such as finance, human resources, and logistics to ensure seamless coordination. Ideal candidates possess strong leadership abilities, excellent organizational skills, and a proven track record in office administration within a retail or electronics environment.
Key Responsibilities
- Supervise the day-to-day administrative operations of the company, ensuring that all office functions are performed efficiently and in accordance with established policies and procedures.
- Lead, mentor, and evaluate administrative and support staff, providing regular feedback, conducting performance reviews, and identifying training needs to enhance team productivity and morale.
- Develop, implement, and continuously improve office administrative systems and procedures, streamlining workflows, reducing redundancies, and ensuring compliance with health, safety, and regulatory requirements.
- Manage office facilities, maintenance, security, utilities, and housekeeping services, coordinating with vendors to ensure timely repairs, and a safe, clean working environment for all employees.
- Coordinate procurement of office supplies, equipment, and services while ensuring cost efficiency, maintaining inventory levels, and negotiating favorable terms with suppliers to support budget objectives.
- Maintain office inventory, fixed assets, and administrative records, ensuring proper documentation, timely updates, and easy retrieval for audits, reporting, and daily operational needs.
- Liaise with vendors, contractors, and service providers to ensure quality service delivery, monitor performance against service level agreements, and resolve issues to minimize disruptions.
- Prepare and monitor departmental budgets and administrative expenditures, tracking expenses against forecasts, identifying variances, and recommending corrective actions to maintain financial discipline and control.
Qualifications & Experience
Essential
- Bachelor’s degree in Business Administration, Office Management, or a related field from a recognized university, with coursework in organizational behavior and office technology.
- Minimum of five years of progressive experience in office administration, including at least two years in a supervisory or team-lead role.
- Proven ability to develop and implement office policies, procedures, and systems that improve efficiency, reduce costs, and enhance service delivery.
- Strong leadership and interpersonal skills, with demonstrated success in motivating teams, managing conflict, and fostering a collaborative workplace culture.
- Excellent organizational and time-management abilities, capable of prioritizing multiple tasks, meeting deadlines, and maintaining accurate records under pressure.
- Proficiency in using office software suites (MS Office or Google Workspace), email systems, and basic accounting or ERP tools for reporting and data management.
Desirable
- Experience working in the consumer electronics, retail, or FMCG sectors, understanding industry-specific supply chain and customer service demands.
- Knowledge of Ugandan labor laws, occupational health and safety regulations, and statutory compliance requirements relevant to office administration.
- Certification in office administration, project management, or human resources (e.g., CAM, PHR, or PMP) is an added advantage.
- Familiarity with procurement processes, vendor management, and cost-control techniques that contribute to overall organizational profitability.
- Ability to analyze administrative data, generate insightful reports, and recommend process improvements that support strategic business objectives.
- Willingness to work flexible hours when required, including occasional evenings or weekends to support critical office functions or company events.
