Job Overview

Simone’s Kids is seeking a dedicated Finance Assistant to support financial operations at their educational institution in Kampala. This role plays a vital part in ensuring accurate financial management for a nonprofit organization focused on child education and welfare. The successful candidate will work closely with the finance team to maintain proper records, process transactions, and support budget compliance.

Based in Kampala, the Finance Assistant will handle day-to-day accounting tasks including fee collection, petty cash management, and financial reporting. This position requires someone with strong accounting skills, attention to detail, and a commitment to the organization’s Christian values. The ideal candidate will possess a Grade V Diploma or higher in Finance or Accounting with at least four years of relevant experience. Proficiency in QuickBooks and Microsoft Office is essential, along with excellent organizational and communication abilities. Key Responsibilities

  • Record and update student fee payments accurately in the accounting system on a daily basis.
  • Issue official receipts for all financial collections and maintain proper filing documentation.
  • Follow up on outstanding fees through polite communication with parents and guardians.
  • Process petty cash payments according to the school’s established financial policies and procedures.
  • Prepare and deposit cash and cheques into the school bank account promptly and securely.
  • Assist with monthly bank reconciliations by comparing records and identifying discrepancies.
  • Enter all financial transactions into QuickBooks ensuring data accuracy and completeness.
  • Maintain orderly, up-to-date ledgers and supporting documents for audit purposes.
  • Help prepare payment vouchers, journal entries, and related financial documentation.
  • Support the finance team in monitoring budget expenditures against approved limits.
  • Prepare basic budget utilization reports for management review on a regular basis.
  • Generate routine financial reports including daily, weekly, and monthly summaries.
  • Assist in preparation for internal and external audits by organizing necessary documents.
  • Provide required information to auditors and help resolve any audit queries efficiently.

Qualifications & Experience

Essential

  • Grade V Diploma or higher in Finance, Accounting, or a closely related field from a recognized institution.
  • Minimum of four years progressive experience in finance and accounting roles.
  • Proven proficiency in using QuickBooks for daily accounting tasks and financial reporting.
  • Strong working knowledge of Microsoft Office programs including Excel, Word, and Outlook.
  • Excellent organizational skills with ability to maintain accurate financial records and documentation.
  • Demonstrated ability to communicate effectively with diverse stakeholders including parents and staff.

Desirable

  • Previous experience working in an NGO or educational institution setting.
  • Familiarity with Google Drive and email systems for document sharing and communication.
  • Understanding of Christian values and ability to integrate them into workplace interactions.
  • Experience with budget monitoring and preparation of financial reports for management.
  • Knowledge of basic auditing procedures and preparation for financial audits.
