Job Overview
PWC Uganda is recruiting a Personal Assistant to provide high-level executive support to one or more senior leaders within the firm’s business services and support function. This role sits within the administrative management track and is central to keeping daily operations running smoothly across the Kampala office.
The successful candidate will act as the first point of contact for the supported executive, managing calendars, screening communications, and coordinating internal and external meetings. Confidence, discretion, and a calm manner under pressure are essential, given the volume of confidential information handled daily.
Working within PwC’s global professional services environment, the Personal Assistant will be expected to deliver high-quality work, build strong relationships quickly, and remain energised when faced with ambiguity. The position offers exposure to senior stakeholders across audit, tax, and advisory lines of business.
Key Responsibilities
- Manage and maintain complex calendars for senior executives, including prioritising competing requests and resolving scheduling conflicts.
- Coordinate logistics for internal and external meetings, including room bookings, video conferencing setup, and catering arrangements.
- Handle confidential correspondence and sensitive information with absolute discretion at all times.
- Prepare meeting agendas, take minutes when required, and follow up on action items to ensure timely completion.
- Arrange complex domestic and international travel, including itineraries, visas, accommodation, and ground transport.
- Liaise with internal teams and external clients on behalf of the executive, maintaining a professional and polished tone.
- Process expense claims, vendor invoices, and purchase orders in line with PwC’s finance and procurement policies.
- Support onboarding logistics for new starters and assist with general office administration as needed.
Qualifications & Experience
Essential
- A bachelor’s degree in business administration, office management, secretarial studies, or a related discipline.
- Minimum of three years’ experience supporting senior executives within a corporate or professional services environment.
- Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint, including calendar and email management.
- Strong written and spoken English communication skills, with the ability to tailor tone to varied audiences.
- Demonstrated ability to handle highly confidential information with integrity and sound judgement.
- Excellent organisational skills with the ability to manage multiple priorities and tight deadlines.
Desirable
- Prior experience working within a Big Four professional services firm or multinational organisation.
- Familiarity with Workday, Concur, or similar enterprise expense and HR management platforms.
- Working knowledge of additional Ugandan languages such as Luganda or Swahili for stakeholder coordination.
- Professional secretarial or administrative certification from a recognised training institution.
- Experience coordinating complex international travel and visa processing for senior leaders.
