Job Overview

Vashi Impact Group is seeking a highly organised and proactive Personal Assistant to provide direct administrative support to the CEO. This role is based in Kampala with work expected from the Lubowa area. The position offers an entry point into administration for candidates eager to develop professional skills in a dynamic international development organisation.

The successful candidate will manage schedules, coordinate communications and maintain records to ensure the CEO’s office operates efficiently. This is an opportunity to contribute to meaningful work addressing gender and social inequalities across multiple regions while building core administrative competencies.

Vashi Impact Group values discretion, reliability and strong organisational abilities. The role requires handling confidential information with integrity and supporting various operational functions including travel, events and project coordination. Priority will be given to Ugandan women candidates residing in Kampala.

Key Responsibilities

  • Manage the CEO’s daily calendar by scheduling meetings, setting reminders and coordinating time blocks for priority tasks.
  • Coordinate follow-ups with staff members, external consultants and partner organisations to ensure action items are completed on schedule.
  • Prepare professional emails, draft documents and compile meeting notes for distribution to relevant stakeholders.
  • Maintain digital task trackers and filing systems to monitor deadlines, deliverables and ongoing initiatives across the organisation.
  • Support logistical coordination for domestic and international travel, including booking arrangements and preparing itineraries.
  • Assist in the planning and execution of organisational events by managing invitations, venue logistics and participant communications.
  • Provide concise weekly updates to the CEO on upcoming commitments, pending actions and organisational developments.
  • Handle confidential information with discretion, ensuring secure handling of sensitive documents and communications.

Qualifications & Experience

Essential

  • Minimum high school education or equivalent qualification demonstrating foundational literacy and numeracy skills.
  • At least three months of experience in administrative support, personal assistance or project coordination roles.
  • Excellent organisational abilities with proven capacity to manage multiple competing priorities effectively.
  • Strong written and verbal communication skills in English suitable for professional correspondence.
  • Proficiency with digital tools including email platforms, word processing software and basic spreadsheet applications.

Desirable

  • Previous experience working in an international development, NGO or humanitarian organisation setting.
  • Familiarity with calendar management software and virtual meeting platforms commonly used in professional environments.
  • Experience preparing meeting minutes, action tracking documents or executive briefings for senior leadership.
  • Knowledge of basic project management principles and ability to support coordination of multi-stakeholder initiatives.
  • Demonstrated ability to maintain strict confidentiality when handling sensitive organisational or personal information.
