This role is critical in ensuring smooth cargo movement through Ugandan borders by managing all necessary paperwork, verifying documentation accuracy, and coordinating with border stations. The successful candidate will act as the bridge between internal teams, clients, and border officials, ensuring compliance with customs regulations and preventing costly delays at checkpoints. This is a full-time position requiring strong organizational skills and familiarity with import, export, and transit procedures in East Africa.

Key Responsibilities

  • Receive and review shipping and clearance documents for cross-border shipments to ensure completeness before processing.
  • Verify all documents for accuracy, consistency, and compliance with Ugandan customs and border authority requirements.
  • Prepare and organize complete documentation packages required for customs and border clearance at all entry and exit points.
  • Coordinate with the Border Clerk and Border Clearance Clerk at respective stations to ensure documents are ready before truck arrival.
  • Maintain an updated digital and physical tracker of all shipments, their documentation status, and clearance progress.
  • Identify missing or incorrect documents and proactively follow up with internal teams, clients, agents, or transporters.
  • Ensure relevant documents are shared promptly with the appropriate border station to avoid delays.
  • Monitor documentation progress for active shipments and follow up on outstanding requirements to meet deadlines.
  • Maintain proper electronic and physical filing systems for all shipment and clearance records.
  • Ensure proof of clearance and supporting documents are received and filed after each shipment is completed.
  • Reconcile completed shipments against the documentation and clearance tracker for accuracy.
  • Provide daily updates on shipments awaiting documentation, ready for clearance, under clearance, and completed.
  • Escalate documentation issues that may cause delays, penalties, storage charges, or disruption to cargo movement.
  • Coordinate closely with Operations and Customer Service to support accurate shipment status updates.
  • Ensure company and client documentation is handled securely and confidentially at all times.
  • Adhere to document control standards and ensure records are readily retrievable for audits or operational needs.
  • Perform any other related duties assigned by the Supervisor or Management as required.

Qualifications & Experience

Essential

  • Diploma or Certificate in Clearing & Forwarding, Logistics, Supply Chain Management, Customs Administration, or a related field.
  • Relevant experience in logistics documentation, customs clearance, freight forwarding, or transport operations.
  • Good understanding of import, export, and transit documentation requirements for cross-border trade in East Africa.
  • Strong attention to detail and ability to verify document accuracy under time-sensitive conditions.
  • Excellent communication skills for coordinating with internal teams, clients, agents, and border officials.

  • Experience working with international freight forwarders or logistics companies in East Africa.
  • Certification in customs brokerage or freight forwarding from a recognized institution.
