Job Overview
The Joint Clinical Research Centre (JCRC) is seeking three dedicated Data Clerks to join its health information team in Kampala. This role is critical to maintaining the integrity and accuracy of patient data across multiple service delivery points. Successful candidates will work closely with clinical and administrative staff to ensure timely and valid data submission to the Ministry of Health.
As a Data Clerk at JCRC, you will be responsible for liaising with various units to verify data completeness in patient files, electronic registers and DHIS2 systems. You will play a key role in data cleaning, report generation and supporting quality improvement initiatives through accurate data management.
The position requires attention to detail, familiarity with health data systems and a commitment to data quality standards. You will contribute to surveillance reporting, stock management and facility-level data use activities including performance reviews and trend analysis.
Key Responsibilities
- Liaise with in-charges of different service delivery points to ensure completeness of data on patient files and e-register/eAFYA entries.
- Work with health unit departments to verify that timely, accurate and complete data is generated from registers before submission to MoH.
- Analyze monthly summary statistics and compile reports for key program indicators to support quality improvement interventions at the facility.
- Manage and maintain electronic data systems including EMR, TBINFO, DHIS2 and the Prevention tracker by ensuring current data updates.
- Participate in data cleaning activities for all program data entered into databases in line with data quality SOPs and guidelines.
- Support weekly surveillance and stock management reporting and respond to ad-hoc data-related requests from the health facility team.
- Lead facility team in data use activities including weekly performance review meetings and generating run charts and performance graphs.
- Routinely update data systems and validate entries to maintain high standards of data accuracy and reliability across all platforms.
Qualifications & Experience
Essential
- A Diploma in Records Management, Information Technology, Health Informatics or a related field from a recognized institution.
- At least two years of experience working with health data systems such as DHIS2, EMR or similar electronic medical record platforms.
- Proficiency in Microsoft Office Suite, particularly Excel for data analysis, report generation and monthly summary statistics compilation.
- Demonstrated ability to maintain data quality, accuracy and confidentiality in accordance with established health information protocols.
- Strong communication skills to effectively liaise with clinical staff, data officers and Ministry of Health representatives.
Desirable
- Experience working in a not-for-profit health organization or research centre environment with exposure to HIV, TB or malaria programs.
- Familiarity with JCRC’s specific data systems including Prevention tracker and TBINFO modules used for program monitoring.
- Knowledge of Uganda’s Health Management Information System (HMIS) guidelines and monthly reporting requirements to the Ministry of Health.
- Ability to train and mentor junior staff on data entry standards, verification processes and electronic register maintenance.
- Experience in generating visual data representations such as charts and graphs for performance review meetings and quality improvement discussions.
