Reporting to the Logistics Manager, the Dispatch Supervisor orchestrates daily fleet movements, assigning vehicles to the most efficient routes based on load size, delivery windows, driver availability, and vehicle suitability, while ensuring optimal load capacities and adherence to scheduled timetables. The Dispatch Supervisor contributes significantly to cost control by minimising fuel consumption and vehicle downtime, enhances customer satisfaction through reliable deliveries, leads continuous improvement initiatives that strengthen the transport team’s capability, and reinforces Twyford International Uganda’s reputation for dependable, high-quality service across all market segments.
Key Responsibilities
- Plan and supervise daily dispatch operations, assigning vehicles to routes based on load size, delivery windows, and driver availability to maximise fleet utilisation.
- Monitor vehicle movements in real time using GPS and telematics, adjusting schedules promptly to respond to traffic, weather, or road incidents while maintaining service levels.
- Liaise with warehouse, sales, and customer service teams to coordinate pickup times, load documentation, and delivery instructions, ensuring accurate information flow.
- Track key performance indicators such as on-time delivery rate, fuel consumption per kilometre, vehicle downtime, and maintenance costs, preparing daily reports for management review.
- Ensure all vehicles undergo scheduled preventive maintenance, regular inspections, and compliance checks, keeping service records current and roadworthy certifications valid for safe operation.
- Handle operational issues such as vehicle breakdowns, driver complaints, or route disruptions, resolving them swiftly while communicating updates to stakeholders.
- Drive continuous improvement initiatives by analysing dispatch data, identifying bottlenecks, and recommending process enhancements that increase efficiency, reduce costs, and improve safety standards.
- Mentor and train junior dispatch officers and drivers, sharing best practices in route planning, load securing, and regulatory adherence to build a competent transport team.
Qualifications & Experience
Essential
- Bachelor’s degree in Logistics, Supply Chain Management, Transport Management, Business Administration, or a closely related field from a recognised university or institution.
- Five to eight years’ experience in transport, logistics, or fleet management, including at least two years in a supervisory role.
- Proven ability to plan routes, supervise drivers, maintain fleet assets, and monitor key performance indicators such as on-time delivery, fuel efficiency, and vehicle utilisation.
- Strong leadership, communication, and problem-solving skills; fluency in English (spoken and written); possession of a valid Class B or higher driving permit.
- Ability to work under pressure, manage multiple priorities, and make quick decisions that ensure uninterrupted dispatch operations and service continuity.
- Experience in preparing and managing dispatch budgets, monitoring fuel expenditures, and controlling operational costs to meet financial targets.
Desirable
- Practical experience with Transport Management Systems (TMS) and ERP platforms such as SAP, Oracle, or Microsoft Dynamics, enabling efficient dispatch planning, tracking, and reporting.
- Familiarity with fuel management systems, telematics solutions, and real-time vehicle tracking technologies to optimise fuel usage, improve route adherence, and reduce operational costs.
- Knowledge of Ugandan transport regulations, road safety standards, vehicle load limits, and industry best practices governing logistics operations and compliance requirements.
- Familiarity with health and safety regulations specific to the transport industry, including driver fatigue management and accident prevention protocols.
- Experience in coordinating with customs and clearance authorities for cross-border shipments, ensuring compliance with import/export documentation requirements.
- Strong analytical skills with the ability to interpret dispatch data, generate performance reports, and recommend data-driven improvements to logistics processes.
