Job Overview

The Logistics & Admin Assistant position at ZOA Uganda supports the Acholi Programme team in Kampala by ensuring smooth logistics and administrative operations. This role is vital for maintaining timely access to goods, services, transport and basic IT support for field activities in Lamwo district. The assistant works closely with the Programme Manager and Logistics Coordinator to uphold ZOA’s procurement and asset management standards.

Based in Kampala with frequent coordination to field locations, the role demands strong organisational skills and attention to detail. The incumbent will contribute to efficient supply chain management, transparent procurement and reliable fleet coordination. This is an opportunity to support humanitarian work in a respected international NGO environment.

The position requires adherence to donor regulations and internal control systems while assisting programme teams. Daily tasks involve procurement support, stores management, asset tracking and basic IT troubleshooting. The role offers valuable experience in NGO logistics administration within a multicultural team setting.

Key Responsibilities

  • Assist in procurement processes by preparing purchase requests and verifying supplier quotations against ZOA guidelines.
  • Receive, inspect and store purchased goods maintaining accurate stock records in the warehouse management system.
  • Update procurement tracker with complete documentation including delivery notes and approval signatures for audit purposes.
  • Coordinate vehicle bookings and maintenance schedules ensuring fleet availability for field missions in Acholi sub-region.
  • Monitor fuel consumption and mileage logs producing weekly reports for the Logistics Coordinator review.
  • Manage office supplies inventory conducting monthly stock takes and initiating replenishment orders when levels fall below minimum.
  • Provide basic IT support including password resets printer troubleshooting and software installation assistance for office staff.
  • Maintain asset register updating locations and conditions of equipment ensuring timely reporting of losses or damages.
  • Support organisation of workshops and meetings by arranging venue logistics catering and participant transport as required.
  • Prepare monthly logistics reports summarising procurement activities fleet usage and stores movements for management review.

Qualifications & Experience

Essential

  • Diploma in Procurement Logistics Business Administration or related field from a recognised institution.
  • Minimum two years experience in logistics administration procurement or office support within an NGO or corporate setting.
  • Proficiency in MS Office especially Excel for data tracking and report generation with ability to learn new systems quickly.
  • Strong organisational skills with proven ability to manage multiple tasks prioritise effectively and meet deadlines consistently.
  • Excellent written and verbal communication skills in English ability to prepare clear documentation and reports.
  • Knowledge of basic procurement principles and storekeeping practices including stock control and documentation requirements.

Desirable

  • Experience working with international donor funded projects understanding of compliance requirements from entities like EU or USAID.
  • Familiarity with ZOA procurement manuals or similar NGO logistics frameworks and internal control systems.
  • Ability to speak Luo or Acholi language facilitating better communication with field teams and local suppliers in Palabek area.
  • Basic IT networking knowledge including Wi-Fi setup printer configuration and troubleshooting common hardware issues.
  • Valid Ugandan drivers licence and experience coordinating fleet operations in challenging road conditions.
  • Previous use of ERP or specialised logistics software such as SAP Oracle or custom NGO management systems.
