Key Responsibilities
- Monitor staff advance accountability by tracking usage and ensuring timely return according to activity timelines and project requirements.
- Ensure completeness and accuracy of staff advance accountabilities through regular review and verification of submitted documentation.
- Prepare and share timely statements and reports on cleared staff advance cases with relevant stakeholders and finance leads.
- Manage petty cash operations including verification of expenditures, tracking cost-effective usage, and maintaining secure custody of funds.
- Conduct weekly cash counts and submit timely requisitions for petty cash replenishment based on verified expenditure patterns.
- Oversee asset and fuel management by maintaining updated inventory registers and providing monthly recommendations for office resources.
- Support fleet management through verification of fuel consumption and monitoring of vehicle utilization for field operations.
- Verify source documents before payment processing to ensure compliance with financial policies and prevent erroneous disbursements.
- Assist field teams in monitoring the utilization of disbursed funds to staff, ensuring alignment with approved budgets and activity plans.
- Contribute to policy compliance by supporting adherence to financial procedures and identifying areas for improvement in financial controls.
Qualifications & Experience
Essential
- Bachelor’s degree in Finance, Accounting, Business Administration, or a related field from a recognized institution.
- Minimum of two years of practical experience in financial management, bookkeeping, or accounts processing within an NGO or corporate setting.
- Proficiency in using accounting software such as QuickBooks, Sage, or similar financial management systems for daily operations.
- Strong understanding of financial principles, including bookkeeping, reconciliation, and basic financial reporting standards.
- Demonstrated ability to maintain confidentiality when handling sensitive financial and organizational information.
- Excellent organizational skills with proven capacity to manage multiple financial tasks and meet strict deadlines consistently.
Desirable
- Experience working specifically in the NGO or development sector, particularly with health or water sanitation programs.
- Knowledge of public financial management systems and donor compliance requirements common in international development funding.
- Previous experience managing petty cash, asset registers, or fuel monitoring systems in field-based operations.
- Familiarity with financial policies and procedures specific to international non-profit organizations operating in Uganda.
- Ability to train and support field staff in financial accountability practices and proper documentation procedures.
- Willingness to travel periodically to field locations within Uganda to support financial oversight and capacity building activities.
