Job Overview

GiveDirectly seeks an Administration Officer to oversee daily field office operations in Kampala. This role is critical to maintaining the integrity of our cash transfer programs through rigorous inventory management and secure storage practices. The successful candidate will ensure all organizational assets are properly accounted for and safeguarded.

Working within GiveDirectly’s innovative direct giving model, the Administration Officer supports field teams by managing stores, conducting inspections and maintaining accurate records. This position requires attention to detail and a commitment to operational excellence in a fast-paced NGO environment.

The role contributes directly to GiveDirectly’s mission of poverty alleviation by ensuring that supplies and recipient phones are handled securely and transparently. You will be part of a team that uses technology to deliver aid efficiently while maintaining the highest standards of accountability.

Key Responsibilities

  • Manage day-to-day store operations by receiving supplies, conducting physical sample counts of 10-25% and resealing cartons with tamper-evident tape to ensure security.
  • Inspect all incoming items for damage or discrepancies and immediately report any issues to the Field Manager and country office before signing off on documentation.
  • Ensure all inventory items are properly arranged, labelled and safely stored in designated areas with adequate ventilation for sensitive equipment like recipient phones.
  • Control physical access to storage facilities through a strict key issuance log system that tracks who enters and exits secure storage areas.
  • Issue store items and recipient phones exclusively against approved written requests with proper acknowledgment from recipients or authorized personnel.
  • Maintain detailed serial-number-level records for all issued items and track returns using both program distribution records and the Salesforce recipient tracker system.
  • Conduct regular physical stock counts on a scheduled basis and reconcile findings with book records to identify and investigate any variances promptly.
  • Prepare accurate inventory reports for management that highlight stock levels, movement trends and any discrepancies requiring attention or corrective action.

Qualifications & Experience

Essential

  • Bachelor’s degree in Business Administration, Supply Chain Management, Inventory Control or a closely related field from a recognized institution.
  • Minimum of two years proven experience in storekeeping, inventory management or warehouse operations within an NGO, UN agency or corporate environment.
  • Proficiency in using inventory management software and Microsoft Office Suite particularly Excel for data tracking, reporting and analysis tasks.
  • Strong numerical aptitude with demonstrated ability to maintain accurate records, conduct stock takes and reconcile discrepancies without supervision.
  • Excellent organizational skills with the capacity to manage multiple priorities, maintain orderly storage systems and follow detailed procedures consistently.

Desirable

  • Experience working specifically with recipient phones, electronic devices or high-value items in a humanitarian or development context.
  • Familiarity with Salesforce or similar CRM systems used for tracking beneficiary interactions and program assets in the field.
  • Knowledge of tamper-evident sealing techniques and secure storage best practices for sensitive program materials in field conditions.
  • Previous exposure to direct cash transfer programs or similar innovative poverty alleviation initiatives in Uganda or East Africa.
  • Ability to train and mentor junior store staff on proper handling procedures, safety protocols and accurate record-keeping methodologies.

What the Role Offers

  • Competitive monthly salary commensurate with experience plus statutory benefits including NSSF contributions as per Ugandan employment law.
  • Comprehensive health insurance coverage for the employee and dependents through a reputable private medical provider in Kampala.
  • Monthly transport and lunch allowances to support daily commuting and meals while working from the Kampala field office location.
  • Professional development opportunities including access to internal training programs and potential sponsorship for relevant external courses or certifications.
  • Housing assistance or allowance options available for eligible candidates who require relocation to Kampala from other districts within Uganda.
