Job Overview

Esom School of Music is seeking two Front Desk Administrators to join their team in Kampala. This role serves as the first point of contact for students, parents, and visitors to the music school. The administrator will manage daily front office operations while supporting the institution’s mission of providing quality music education.

Located in Kampala, Esom School of Music has been operating since 2006 and became a registered LLC in 2011. The institution focuses on delivering tangible and intangible music products to clients across Uganda. This position offers an opportunity to work in a creative educational environment.

The Front Desk Administrator will contribute to smooth daily operations through effective communication and organizational skills. This is a full-time position suitable for candidates with administrative aptitude and a passion for supporting arts education.

Key Responsibilities

• Greet all visitors, students, and parents professionally upon arrival at the front desk
• Answer incoming phone calls and direct inquiries to appropriate staff members
• Manage the reception area ensuring it remains tidy and welcoming at all times
• Handle student registration processes including form distribution and data entry
• Schedule appointments for lessons, meetings, and facility usage
• Maintain accurate records of student attendance and fee payments
• Process administrative documents such as enrollment forms and progress reports
• Coordinate with teaching staff regarding student inquiries and schedule changes
• Manage office supplies inventory and place orders when stock levels are low
• Assist in organizing school events, recitals, and workshops as needed

Qualifications & Experience

Essential

• Minimum of a bachelor’s degree in any field from a recognized institution
• Proficiency in using Google Sheets or Microsoft Excel for data management
• Demonstrated ability to multi-task effectively in a busy office environment
• Strong attention to detail when handling documents and student information
• Confident use of internet tools and basic AI applications for administrative tasks
• Ability to follow instructions precisely while working independently

Desirable

• Previous experience in a front desk or customer service role
• Knowledge of basic music terminology or arts administration
• Experience working in an educational institution setting
• Familiarity with school management software or CRM systems
• Additional certification in office administration or customer relations
• Ability to communicate effectively in multiple languages commonly used in Kampala
